Frequently Asked Questions about the Feedback Platform

Short and clear answers: What the survey solution can do, how evaluations are created, and what you need to get started.

How long does it take to set up a customer survey?

Most surveys are ready to use in under 30 minutes. You choose from pre-designed questionnaire templates or create your own questions using drag-and-drop. Then you set the sending time – via email, link, or directly in the CRM. No technical training is required; the interface guides you through the process step by step.

What evaluations will I receive after completing a survey?

After the first completed questionnaire, automatically updated dashboards are available to you. You will see the response rate, average values, distribution of answers, and trends across multiple survey periods. In addition, filters can be set by customer group, location, or product line to compare specific segments.

Can I use the platform for internal employee surveys?

Yes, the solution is equally suitable for customer and employee feedback. You can create separate projects, each with its own access rights and anonymity settings. For internal surveys, special templates are available on topics such as work environment, leadership, and work-life balance.

How is personal data handled in the surveys?

The platform operates in accordance with GDPR requirements. Responses can be collected completely anonymously, and personal fields can be activated optionally. Data is stored on servers in Austria and is not shared with third parties. You decide how long results are retained and when they are deleted.

Can the software be integrated with our existing CRM?

The platform offers interfaces to common CRM systems and can transfer survey results directly to customer profiles. On request, we set up the integration as part of the onboarding process. This allows satisfaction scores to be linked with purchase history, support tickets, or contract durations.

What support do we receive during use?

You can reach our team by email or phone during business hours. For questions about setup, evaluations, or integration with your systems, you will typically receive a response within one business day. For larger projects, we also offer a personal introduction via video call.

Definitions and notes on usage

What do we mean by customer satisfaction?

Customer satisfaction refers to a customer's subjective assessment of the service quality experienced compared to their own expectations. In our evaluations, we distinguish between overall satisfaction, satisfaction with individual touchpoints, and willingness to recommend. These three levels are surveyed and reported separately so that you can identify exactly where there is a need for optimization.

How are survey data anonymized?

All personal data is pseudonymized already during collection. This means: we do not store IP addresses, device identifiers, or combinations of age, postal code, and occupation that would allow the identification of individual persons. Anonymization occurs automatically before storage in the database. This rules out any conclusions about individual participants.

Which key figures are calculated by default?

For each survey, we automatically calculate the Net Promoter Score, the Customer Satisfaction Score, and the Customer Effort Score. In addition, distributions, mean values, and standard deviations are reported for each question. For open-ended responses, we perform thematic grouping that you can view in your dashboard. The calculation bases are documented in your report so that you can understand the results.

How long are survey results stored?

Raw data from completed surveys is retained for 24 months by default. After that, individual responses are deleted and only aggregated evaluations are stored. If you prefer a shorter storage period, you can set this for each survey. Deletion occurs automatically and is documented in your audit log. Manual deletion is possible at any time via the settings.

What role do industry benchmark values play?

Our platform provides industry-specific reference values based on anonymized data from comparable companies. These benchmark values serve exclusively to contextualize your results and are not binding targets. The sample size and survey period of the reference values are disclosed transparently. Deviations between your values and the reference values should always be interpreted in the context of your specific customer group.

How are open-ended responses evaluated?

Open-ended responses are first grouped automatically by topic and provided with a sentiment analysis. This automatic classification does not replace a substantive review by your team. We recommend manually reviewing at least ten percent of open-ended responses to validate the quality of the automatic grouping. You can correct the grouping results in the evaluation before releasing the report.
